Financial Support via the FR pot

In General

The Associations Council can grant financial support to projects and events. Only the student associations may apply. The following maximum amounts apply:

  • For one association: max CHF 2000
  • For each additional association: +CHF 1000

Flat amounts (a specific sum is compensated) or deficit guarantees (an amount up to a specific budgeted sum is compensated) can be granted.

Overview

Formulating the Request


Write an introduction which answers at least the following questions:

  • Who is organizing and doing the accounting?
  • Who benefits (number of persons, relation to VSETH)?
  • When will the project take place (preparation, execution, possible recapitulation)?
  • Why is the project worth supporting (goals, uniqueness,...)?

As you are requesting financial support, also include

  • Budget: Submit detailed revenues and expenses. If available, also include the accounts of previous/similar projects.
  • Further benefactors: List all other requested sources of funding (departments, ETH-offices, companies, student associations, committees, cultural foundations etc.) and the state of those requests.
  • Requested amount: What amount of money (and as a flat amount or deficit guarantee) is being requested?

The prospects for an application can depend to a large extent on whether you have actively pursued other funding sources, as far as is reasonable for your project.

Submitting the request

  • Make sure no information is missing
  • Early contact with the FR presidency and good transparency are requested
  • Send in the complete request at least four weeks in advance to frpraesident@vseth.ethz.ch (it's best to ask your HoPo-representatives for the next agenda deadline)
  • You will be invited to the next FR, so you or another representative of your association can present the request.

Decision and payment

The request is voted on at the FR meeting.

Send in a short summary and complete account to quaestur@vseth.ethz.ch until at most six months after the project. The subject line should read: Auszahlung aus FR-Topf, Kostenstelle 60304, Sachkonto 762000.

Otherwise, granted support will expire six months after the project.

Tips and Tricks

Factors in the decision can include

  • How many people benefit/if the amount per person is appropriate
  • If financing from third parties has been attempted
  • If support from VSETH is necessary and why the associations could not fund the project themselves

Further tips:

  • The project/event budget should be clearly tabulated and described (how much is spent on what, what are entry fees etc.).
  • Justify the amount: It is good to reasonably justify the requested amount instead of just requesting the maximum.
  • Consulting with FR delegates: Delegates will likely know the FR better than those requesting funds for a project/event, so it is useful to consult with them so they can also support your request.

Deficit guarantee vs. flat amount

Deficit guarantee: You have planned a budget with estimated costs and plan for revenue and expenses to balance out, but you would like to be safe in case your planned amounts are inaccurate.

Flat amount: If funds for a project are not given (planned expenses are higher than revenues (or the project has no planned revenue)) you can request a flat amount.
